  1. Our Commitment

    We, at the Asian International Arbitration Centre (AIAC) are committed to protecting your personal information. This policy outlines our commitment by detailing our practice in respect of the collection and processing of such information by AIAC as the data controller of such information. This policy also indicates your rights pertaining to such information.

  2. Collection
    1. Personal information that we collect and process may include (whether this information was provided to the AIAC by you, or by third parties on your behalf):
      1. basic information such as your name, organisation, position, gender, date of birth and contract information such as your mailing address(es), e-mail address(es) and contact number(s);
      2. financial information provided to the AIAC with in the course of making payment(s);
      3. technical information such as that of your visits to our website and/or communications sent to you electronically;
      4. other information provided to the AIAC in the course of attending our events and business processes and membership-based services;
      5. any personal information provided to the AIAC in the course of provision of our services that may include arbitration, adjudication, mediation or any other dispute we administer;
      6. any information provided to us in the course of application for jobs or internships at the AIAC.
  3. Indicative Use
    1. We may use your information in the course of provision of our services to you or others; to notify you about changes to our services; to promote our services including sending the AIAC’s publications, events details and updates; to provide or improve our website including auditing and monitoring use thereof; to fulfil our legal, regulatory and risk management obligations including establishing, exercising or defending legal claims; or for recruitment purposes.
  4. Duration of retention
    1. Your information may be retained only so far as it is reasonably necessary for the business purposes of the AIAC and the provision of services, the period of which may vary according to the class of information, taking into account the legal and regulatory stipulations, statutory limitation periods and good practice.
  5. Disclosure
    1. Unless disclosure is made to trusted third parties in conformity with contractual arrangements with them, or is required by law, your information will not be disclosed to third parties outside the AIAC.
    2. These third parties may include: our professional advisors and auditors; suppliers who may carry out support services for us; IT service providers; recipients of AIAC’s services; and those involved in the hosting or organisation of events.
  6. Storage
    1. Information that we collect from you may be transferred to and stored anywhere, including outside the European Economic Area (EEA), and may be processed by personnel anywhere, including outside the EEA who may either work for us, our suppliers, subsidiaries, or any other entities the AIAC may have an interest in. Amongst other things, these personnel may be engaged in fulfilling your requests, processing your payment details or providing support services. By providing the AIAC with your personal information, you consent to this transfer, storage or processing. The AIAC will take all reasonable steps necessary in order to ensure that your personal information is treated securely and in compliance with this Privacy Policy.
    2. Payments made to the AIAC online will be processed via a third-party payment service provider. Please refer to the separate terms and conditions of the said provider for further terms, including that of your personal data provided to them, that may also apply to you for use of that payment service.
    3. Once the AIAC is in receipt of your personal information, the AIAC uses strict procedures and security features to try preventing unauthorised access. However, despite the AIAC’s best efforts to protect your personal information, the transmission of information via the internet may not always be completely secure.
    4. Therefore, although we endeavour to protect your data, the AIAC cannot guarantee the security of your information transmitted to our website, and any transmission is at your own risk.
  7. Your Rights in Relation to Your Personal Information
    1. Applicable data protection laws provide certain rights for subjects of information, including the right to access, amend or delete personal information or to restrict or object to the processing of personal information. This policy also applies to data protected under the European Union (EU)’s General Data Protection Regulation (GDPR).
    2. Additionally, you may have the right to lodge a complaint to the respective supervisory authority in your jurisdiction should you have any concerns in relation to your personal information.
    3. You may request a copy of your information from the AIAC by contacting us. Should the relevant legislation allow for it, the AIAC may refuse to provide you with access or charge a fee for said access, in which case the AIAC will provide reasons for doing so as required by law.
    4. As information we hold about you should be accurate and updated, please advise us on changes to your information by contacting us.
